Description

The Executive Administrative Assistant in the Chief Nursing Officer (CNO) Office provides administrative information and project coordination support to ensure the effective operation of the CNO portfolio. The position is responsible for managing portfolio matters on behalf of the CNO and supporting the coordination of key activities, initiatives, and priorities. Working with limited supervision, the Executive Administrative Assistant serves as a key liaison between the CNO and other Primary Care Alberta (PCA) portfolios, healthcare agencies, government ministries, and external stakeholders. The role requires regular interaction with senior and executive leadership, as well as internal staff and external partners, to facilitate communication, coordination, and the timely flow of information.

The Executive Administrative

Assistant coordinates the CNO’s complex schedule, including travel, meetings, and events, while managing all associated logistics. This includes preparing meeting materials such as agendas, presentations, and minutes. The role also ensures effective organization and tracking of both short- and long-term assignments, monitors action items, and supports timely follow-up to ensure deliverables are completed as planned. Additional responsibilities include processing expenses and invoices and providing administrative support for human resources activities such as recruitment coordination, onboarding, documentation, and records management. The position regularly handles confidential and sensitive information and requires sound judgment, discretion, and strong organizational skills to support the priorities of the CNO and the broader portfolio.

Assistant may be required to provide coverage or vacation relief for other PCA administrative staff, as well as support for the Strategic Services Executive Associate.

Required Qualifications

Completion of a post-secondary certificate or diploma in Office Administration, or a related administrative program. A minimum of 5 years of administrative experience supporting senior or executive leadership.

Additional Required Qualifications

Demonstrated experience coordinating complex schedules, meetings, and travel arrangements.

Experience preparing correspondence, reports, agenda
